Quick Start Guide

Get up and running with Numbase.io in just a few minutes. This guide will walk you through processing your first statement from start to finish.

Before You Begin

What You'll Need

  • A PDF bank or credit card statement
  • An active Numbase.io account (sign up if you haven't already)

Step-by-Step Walkthrough

Create Your Account

If you don't have an account yet, sign up for Numbase.io. We offer a free tier that lets you process up to 10 pages per month.

Access Your Dashboard

Once logged in, you'll see your main dashboard. This is where you can upload statements, view processing history, and manage your profiles.

Tip: Bookmark your dashboard for quick access in the future.

Upload Your First Statement

In the "Process Statements" page, click the "Upload" button or drag and drop your PDF file into the upload area. You can upload multiple files at once if needed.

Supported formats: PDF only
Maximum file size: 10MB per file
Multiple files: Up to 3 files at once (Paid Tier)

Configure Processing Options If Needed

Before processing your statement, you can customize how Numbase.io handles your data. Don't worry, you can skip these for now and use the defaults if you're just getting started!

Choose a Profile (Optional)

Think of profiles as your personal categorization assistant. If you've created custom rules for how transactions should be categorized (like "Zelle Payment From John Doe = Rent Payment"), select that profile here. For your first time, just leave this on "Default".

Processing Options

These checkboxes let you fine-tune how your data looks:

Clean Up Transaction Names

Makes messy bank descriptions readable. For example, "AMZN MKTP US*233445667" becomes "Amazon Marketplace"

Keep Names Short

Cuts long transaction names to 30 characters max. Essential if you use QuickBooks Desktop (it has character limits)

Combine Into One File

If you're uploading multiple statements, this puts all transactions into one big CSV file instead of separate files

Start Processing

Click "Start Processing" and wait for the AI to analyze your statement. Processing time depends on the document size but typically takes 1 minute per statement.

What's happening: Our AI is reading your statement, extracting transaction data, and categorizing each transaction based on standard accounting practices.

Review Your Results

Once processing is complete, you'll see a screen showing your results. On the left side you'll see a table showing all extracted transactions with their dates descriptions, amounts, and assigned categories. On the right side you'll the original PDF statement. (If you uploaded multiple statements, you'll see a navigation button to move between each statement result.)

Review the extracted data for accuracy
Make any necessary corrections
Download as CSV when satisfied

Download Your CSV

Click the "Download CSV" button to get your processed data. The file will be formatted and ready to import into QuickBooks, Xero, Excel, Google Sheets or any other CSV compatible software.

Success! You've successfully processed your first statement.

Common First-Time Issues

File Upload Fails

Make sure your file is a PDF and under 10MB. Some bank statements are image-based PDFs which work fine, but scanned documents should be clear and readable.

Processing Takes Too Long

Large statements (10+ pages) may take 3-5 minutes to process. If it takes longer than 10 minutes, try refreshing the page or contact support.

Some Transactions Missing

Our Software is very accurate but occasionally might miss transactions in unusual formats. If you notice missing data, please contact support with your statement format.
